Delete, Trash, and Restore

What happens when you delete a collaborator, program, distributor, conversion, or reward: the Trash, restoring, permanent deletes, and why Siren refuses some deletes while money is owed.

Deleting a collaborator, program, distributor, conversion, or reward (an obligation on the Obligations screen) moves it to the Trash first. From there you can restore it or delete it permanently. Siren refuses to permanently delete a collaborator, program, or custom currency while money tied to it is still owed, and a conversion or reward while a reward or payout still depends on it. Distributors need Siren Essentials or higher.

Move a record to the Trash

For a collaborator, program, or distributor, point at its row, click the trash icon, and click “Move to Trash”. You can also tick several rows and choose “Delete”. Conversions and rewards have only the bulk “Delete”. After a distributor or conversion delete, an “Undo” button puts it back right away. On a WordPress site that has switched over to Siren Cloud, you delete and restore these records in Siren Cloud.

When a collaborator or program still has money attached, the dialog lists it in a “Still attached” note. The rewards and payouts stay on record. Settle them before you delete the collaborator or program permanently.

Find and restore trashed records

Click “Trash” under the table, or choose “Trashed” in the status filter. “All Statuses” leaves trashed records out, and a trashed record’s status reads “Trashed”. To leave the Trash, click the link under the table that starts “Back to active”.

Click “Restore” on a row, or tick several and use the bulk restore:

  • Collaborators, programs, and distributors come back Inactive (“Restore (Inactive)”). Set them Active on their edit screen when they should earn again.
  • Conversions come back Pending (“Restore (Pending)”), as Approve and Reject Conversions describes.
  • Rewards come back Approved, or Complete if they’re in a payout, whatever their status was before, so a reward you had rejected comes back payable.

The Trash keeps records until you delete them. Restoring a collaborator or program keeps their enrollments, which a permanent delete would remove.

What a trashed collaborator does

While a collaborator is in the Trash:

  • They get no new engagements, and sales on their earlier engagements don’t become conversions. Their coupon codes and tracking links stay linked to them, but credit nothing.
  • Their approved rewards are held out of new fulfillments. If you select only their rewards, Siren creates nothing and says their collaborator is in the trash or deleted.
  • Automatic payouts skip them and leave the payout unpaid. Pay it yourself and click “Mark Paid”, as Set Up Automatic Payouts describes.
  • They get no share of a distribution, and cascades skip them without moving anyone up a layer.
  • Other screens show them as their name followed by “(trashed)”.
  • On WordPress, they can still sign in and see their dashboard. On Siren Cloud, they can’t sign in to the portal until you restore them.

When you restore them, their held approved rewards go into the next fulfillment. A payout Siren skipped while they were in the Trash stays unpaid, and “Retry” doesn’t apply to it, so pay it yourself and click “Mark Paid”. Set them Active when they should earn again. Sales from while they were in the Trash aren’t credited later.

What a trashed program does

A trashed program gets no new engagements, and sales on its earlier engagements don’t become conversions. Rewards it already approved are still paid in the next fulfillment. Reject them first if they shouldn’t be paid. Its enrollments and settings stay until you delete it permanently, and other screens show it as its name followed by “(trashed)”.

A trashed distributor keeps its settings until you delete it permanently.

Delete permanently

In the Trash, click “Delete Permanently” on a row, or tick several and choose “Delete Permanently”. Collaborators, programs, and distributors ask you to confirm. For conversions and rewards, the row button deletes at once, with no confirmation, while the bulk action asks first. A bulk permanent delete needs every selected record in the Trash, and it deletes all of them or none.

Siren refuses while money is still owed:

  • A collaborator or program can’t go while it has a reward that hasn’t been paid out, whether it’s awaiting approval or approved, or a payout that isn’t marked paid. A collaborator also can’t go while they hold a credit balance.
  • A conversion can’t go while its reward exists. Delete the reward permanently first. A reward already in a payout can’t go, so neither can its conversion.
  • A reward can’t go while a payout includes it.
  • A custom currency can’t go while a reward or payout in it is unpaid, or while a collaborator holds a balance in it, unless you tick “Also delete all credit balance entries for this currency”.

To clear the way, reject the rewards that shouldn’t be paid, pay any unpaid payout yourself and click “Mark Paid”, and take a credit balance to zero with “Adjust” on the collaborator’s “Credit Balances” card. A collaborator in the Trash gets no new fulfillments, so to pay their approved rewards instead, restore them, pay the rewards, and move them back to the Trash.

For a collaborator or program, the dialog says “This collaborator cannot be permanently deleted yet. It still has …” with what’s in the way, then “Settle or cancel them first.”, and the button stays off. A refused delete of conversions or rewards, from the row or in bulk, and a refused bulk delete of programs, show a notice starting “Nothing was deleted.” A refused bulk delete of collaborators says “This collaborator cannot be permanently deleted because it still has …” without naming who, so open each collaborator’s own delete dialog to find them. Distributors have no money check.

A permanent delete removes the record and what belongs only to it. For a collaborator, that’s their program and group memberships, tracking codes, coupon links, payout details, and product ownership. For a program, that’s its settings and links. Engagements, conversions, settled rewards, paid payouts, and reporting stay, and screens show “Deleted collaborator” or “Deleted program” in their place.

Records without a Trash

These delete in one step and can’t be restored:

  • Program groups and collaborator groups. Deleting a collaborator group leaves programs bound to it with no members.
  • Custom currencies. The dialog lists the programs that pay in the currency, and deleting it sets them to inactive, as Pay in Store Credit and Custom Currencies describes.
  • Coupon codes, with “Remove”, only for a code no store sent and no shopper used.
On Siren Cloud, application forms and webhooks delete in one step too, and deleting a webhook also deletes its delivery history.

Fulfillments aren’t deleted from the screens.
